Primary Function: Support the parish’s mission of discipleship and stewardship by serving as Safe Environment Co-Coordinator, working towards having all volunteers compliant with Safe Environment requirements. Assist the Time and Talent Director in fostering parish engagement and volunteer involvement, and prepare the parish bulletin to communicate parish life and encourage active participation. Major Areas of Responsibility
Parish Bulletin – Prepares the parish bulletin for publication, performing all tasks required to deliver a print-ready version to the publisher. This includes collecting, reviewing, and formatting content; ensuring accuracy, timeliness, and relevance; and maintaining compliance with parish and publisher standards.
Safe Environment Program – Implements and manages the Archdiocesan Safe Environment Program at the parish level, ensuring compliance for all parish staff and volunteers. Provides training, recordkeeping, and reporting as required.
Assistant to the Time and Talent (T&T) Director – Provides administrative and project support to the T&T Director.
Co-Coordinator of Safe Environment – Works collaboratively with the Safe Environment Co-Coordinator to ensure smooth operations, compliance, and communication regarding parish Safe Environment policies.
Essential Duties and Specific Responsibilities Parish Bulletin (under the direction of the T&T Director)
Maintain awareness of parish events and activities to ensure articles are accurate and relevant.
Keep staff and ministry leaders informed of bulletin deadline or other submission changes.
Collaborate with clergy, staff, and ministry leaders to gather timely information.
Prepare and format the weekly bulletin in line with parish guidelines and publisher requirements.
Ensure all materials, including clip art and images, have appropriate permissions/licensing.
Meet established print deadlines consistently.
Stay current with software and publishing tools necessary for bulletin production.
Keep designated back-up bulletin assistants informed of deadlines, areas of concern, and processes to ensure continuity during absences. Follow established processes to help bulletin back-ups.
Safe Environment Program (under the direction of the T&T Director and in collaboration with the Co-Coordinator)
Maintain up-to-date records for all parish employees and volunteers in the Archdiocesan Safe Environment database.
Monitor compliance and provide required reports to the Archdiocesan Safe Environment Office.
Assist individuals one-on-one with completing Safe Environment training (in-person or over the phone, as needed).
Prepare training handouts and materials for both new and refresher training sessions.
Keep the parish Safe Environment webpage current with training information, policies, and resources.
Respond to parishioner inquiries and provide troubleshooting assistance for online Safe Environment training.
Call or send reminders to parishioners who are nearing renewal or expired; assist with class registration and provide follow-up phone call.
Research Safe Environment status for new volunteers upon staff request and communicate results promptly. Keep volunteer records updated.
Ensure confidentiality and professionalism in handling all Safe Environment records and communications.
Keep staff updated on Safe Environment and communicate any updates to staff
Contact Safe Environment platform to resolve inquires, as needed
Additional Responsibilities
Provide support for parish stewardship initiatives as directed.
Assist the Time and Talent Director with other tasks and programs, as needed.
Participate in parish staff meetings and training, as requested.
Participate in Staff Retreats.
Maintain confidentiality and uphold Archdiocesan and parish policies in all areas of responsibility.
Qualifications:
Bachelors degree or equivalent
Ability to recruit, train and motivate volunteers
Ability to plan, organize and implement major events
Excellent verbal and written English communication skills
Ability to maintain confidentiality
Ability to work weekdays with occasional evenings and weekends
Ability to work collaboratively in a team environment
Must be able to pass a background check
Must be able to complete Safe Environment training
Practicing Catholic in good standing with the Church
Special Requirements:
Proficient in using Microsoft Windows 11 for all work-related tasks
Advanced skills in Microsoft computer software programs both stand-alone and Office 365: Word, Excel; Publisher, OneDrive, Outlook and a PC web browser and PDF software are essential. Photo editing software skills such as Canva and Photoshop a plus.
Skilled in database management, including searching, updating, and generating reports.
Webpage editing skills, preferred
Strong typing and data entry abilities
Ability to multitask in a fast-paced environment while managing multiple priorities.
Strong attention to detail
Willingness to learn new software and keep skills updated
Ability to work with people from diverse backgrounds and in a team environment.
Excellent organizational and time management skills
Confident in making phone calls, engaging in one-on-one conversations with individuals and volunteers, and speaking effectively to groups
Able to lift and carry 15 lbs. as well as perform tasks that may involve climbing a ladder, bending, or working at floor level is preferred.
Willing to use a personal device for multifactor authentication, checking QR codes for bulletin or other materials and for parish alerts.
